Key Responsibilities:
- Invoicing and Billing:
- Generate accurate and timely invoices for guest stays, events, and other services rendered by the hotel.
- Verify the completeness and accuracy of invoice details, including rates, discounts, and guest information.
- Collections Management:
- Monitor outstanding accounts receivable balances and follow up on overdue payments.
- Communicate with guests, corporate clients, and travel agencies to facilitate timely and accurate payments.
- Payment Posting:
- Record payments received accurately in the financial system, allocating funds to the appropriate accounts.
- Reconcile discrepancies between payment records and outstanding balances.
- Statement Reconciliation:
- Reconcile guest statements with accounts receivable records to ensure accuracy and resolve any discrepancies.
- Investigate and resolve issues related to unapplied payments and misallocations.
- Guest Communication:
- Respond to guest inquiries and concerns related to billing and invoices in a professional and courteous manner.
- Provide detailed explanations and documentation as needed to address guest queries.
- Account Maintenance:
- Maintain accurate and up-to-date guest profiles, credit information, and billing preferences.
- Update customer records with relevant notes and interactions for reference.
- Reporting and Analysis:
- Prepare regular reports on accounts receivable status, aging analysis, and collection trends for management review.
- Provide insights into payment patterns and propose strategies for improving cash flow.
- Internal Collaboration:
- Collaborate with other departments, including front office and sales, to ensure accurate invoicing and resolve billing discrepancies.
- Communicate with the accounts department to facilitate seamless financial operations.
- Process Improvement:
- Identify opportunities to streamline invoicing and collection processes, enhance accuracy, and reduce payment delays.
- Participate in the implementation of system enhancements and automation tools.
Qualifications and Requirements:
- Education: Bachelor’s degree in Finance, Accounting, or a related field. Relevant certifications are a plus.
- Experience: Minimum of 2-3 years of experience in accounts receivable or a similar financial role.
- Skills:
- Strong understanding of accounting principles and accounts receivable processes.
- Proficiency in financial software and Microsoft Office applications.
- Excellent analytical and problem-solving skills.
- Effective communication and interpersonal abilities.
