Job Description

As a Secretary, you will play a pivotal role in ensuring smooth office operations and providing administrative support to the company’s management and staff. Key Responsibilities

  • Administrative Support: Provide comprehensive administrative support to the office, including managing phone calls, scheduling meetings, and organizing files. Ensure the office operates efficiently and effectively.
  • Document Management: Maintain accurate records, manage correspondence, and prepare documents as needed. Assist with the preparation of reports, presentations, and other materials.
  • Scheduling and Coordination: Coordinate meetings, appointments, and events. Maintain calendars for executives and other key personnel, ensuring efficient time management.
  • Customer Service: Serve as a point of contact for clients, vendors, and visitors. Greet visitors, answer inquiries, and provide information as needed.
  • Travel Coordination: Arrange travel plans, including booking flights, accommodations, and transportation. Prepare travel itineraries and ensure all necessary arrangements are made.
  • Office Management: Oversee office supplies and equipment, ensuring the office is well-stocked and all equipment is in working order. Coordinate maintenance and repairs as needed.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times. Adhere to company policies and protocols regarding information security.

Qualifications

  • Education: High school diploma or equivalent is required. An associate’s or bachelor’s degree in business administration or a related field is a plus.
  • Experience: At least 2 years of experience in a secretarial or administrative role. Experience in a confidential setting is preferred.
  • Technical Skills: Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. Ability to learn and use other software as required.
  • Soft Skills: Strong organizational skills, attention to detail, and the ability to multitask. Excellent communication and interpersonal skills.
  • Problem-Solving: Ability to anticipate needs, identify issues, and propose solutions. Proactive in addressing challenges and streamlining processes.
